1. Who we are

TalentStudent.in is an online platform for educational institutions (Playway, School, College, Institute, University, Academy, Centre) and students to run and join competitions, voting, rankings, certificates and related school profiles.

Under the Digital Personal Data Protection Act, 2023 (“DPDP Act”), when we decide why and how personal data is processed, we act as a Data Fiduciary. You (student, teacher, principal, owner, judge, parent or public voter) are a Data Principal.

2. Scope

This Privacy Policy explains how we collect, use, store, share and delete digital personal data on TalentStudent.in, including when you register, log in (email or Google/Facebook), join competitions, upload photos, vote, pay plan or entry fees, or edit a school profile.

It should be read with our Terms & Conditions, Cookie Policy and Account & Data Deletion page.

3. Personal data we may process

• Identity & contact: name, email, phone/WhatsApp, password (stored securely), role (Owner, Principal, Teacher, Student, Judge, public voter).
• Institution data: institution name, type, address, city, state, PIN, about text, logo, cover, facilities, events, social links, map link.
• Education data: class, section, course, school linkage, approvals and transfer requests.
• Competition data: join requests, entry photos, captions, scores, ranks, certificates metadata, votes linked to your account/email.
• Payment data: plan or entry-fee amount, GST breakup, UTR/reference, optional payment screenshot, invoice records (as required for business/tax).
• Technical data: login session, security logs, device/browser basics, IP used for rate-limiting or abuse prevention where applicable.
• Communications: emails we send or receive (registration, approval, payment, support).

We do not intentionally ask for sensitive government IDs (Aadhaar, PAN) on the public forms. Do not upload such documents unless a lawful process specifically requires them.

4. Purpose and lawful grounds (DPDP)

We process personal data only for clear purposes, including:

• Creating and securing accounts; role-based dashboards.
• Running competitions, approvals, voting, rankings and certificates.
• School public profiles and institution discovery.
• Plan subscription and entry-fee verification (manual UPI/bank + screenshot where used).
• Support, grievance handling and service messages.
• Security, fraud prevention, audit logs and legal compliance.
• Improving site reliability and user experience.

Under the DPDP Act, processing is based on consent and/or other uses permitted by law (including certain legitimate uses under section 7 where applicable — for example completing a service you requested, such as sending a registration or approval email). Where consent is the ground, you may withdraw it, subject to the Act and the need to finish or stop the related service.

5. Children (under 18)

Under the DPDP Act, a child is a person under 18 years of age. TalentStudent.in is used heavily by schools and minors for educational competitions.

• Institution accounts (Owner/Principal/Teacher) should ensure that student registration and photo uploads for minors are appropriate and, where required, supported by parental / guardian awareness or school authority.
• We do not knowingly use children’s data for targeted advertising.
• Competition photos and names may appear on public vote pages as part of the educational showcase you or the school enable.

6. How we share data

• Within your institution: Owners, Principals and relevant Teachers may see students, joins, entries and approvals for their school.
• Public pages: school profile content you publish; competition entries and scores where voting/showcase is enabled.
• Super Admin: platform operation, approvals, abuse handling and support.
• Processors: hosting, email delivery, login providers (e.g. Google/Facebook), payment confirmation workflow — under arrangements where they process data for us.
• Legal: when required by law, regulation, or to protect rights, safety and integrity of the platform.

We do not sell personal data.

7. Cross-border processing

Some tools (for example social login or infrastructure) may process data outside India. Cross-border transfer is generally allowed under the DPDP Act subject to government restrictions. We aim to use reputable providers and limit access to what is needed for the service.

8. Security safeguards

We apply reasonable security safeguards appropriate to our size and risk, including access controls, secure hosting, password protections, role limits and monitoring against abuse. No method of transmission or storage is 100% secure; please use strong passwords and protect your login.

If a personal data breach is likely to affect you, we will take steps consistent with applicable law, which may include notifying affected users and the Data Protection Board of India as required.

9. Retention

We keep personal data only as long as needed for the purposes above, including:

• Active account and competition participation.
• Certificates, ranks and competition history that remain part of platform records.
• Payment and tax/GST-related records for statutory periods.
• Security and dispute logs for a limited period.

When the purpose ends, we erase or anonymise data where feasible, subject to legal retention and backup cycles. See also Account & Data Deletion.

10. Your rights (Data Principal)

Subject to the DPDP Act and Rules, you may:

• Request access to personal data we hold about you and related processing information.
• Request correction of inaccurate or incomplete data.
• Request erasure / account deletion, subject to legal retention (e.g. invoices) and residual backups.
• Withdraw consent where processing is consent-based (service features may stop).
• Raise a grievance with us (see below).
• Nominate another person to exercise rights in case of death or incapacity, as provided under the Act (you may email us to record a nominee preference).

Use your registered email when writing to us so we can verify the request.

11. Grievance redressal

For privacy or data-protection complaints, email info@talentstudent.in with subject line Privacy grievance.

We aim to acknowledge and respond within a reasonable period and in any case within the outer limit published under applicable Rules (not exceeding 90 days where that cap applies).

If you are not satisfied, you may have rights to approach the Data Protection Board of India under the DPDP Act.

12. Third-party links and logins

Google, Facebook or other login/share tools are governed by those providers’ policies. Shop or affiliate links (e.g. Amazon) send you to third-party sites. We are not responsible for their independent privacy practices.

13. Changes

We may update this Policy to reflect product or legal changes. The “Last updated” date at the top will change. Continued use after an update means you should review the new text.
